Water station inventory system

Track water station products without confusing stock and refill services

AquaFlow separates physical products that reduce inventory from refill services and fees that should not, giving the station a clearer stock picture.

Key benefits

1

Products and services

Configure bottled water, gallons, caps, dispensers, accessories, fees, and refill services.

2

Stock classification

Choose which offerings track physical stock and which remain non-stock services.

3

Availability signals

See low-stock and out-of-stock conditions and discontinue offerings without erasing history.

A cleaner inventory workflow for water stations

Set up each offering once, then use the same validated product information in station delivery work.

  1. STEP 1

    Configure

Add the product or refill service with its price and stock behavior.

  2. STEP 2

    Adjust

Record dedicated stock changes for physical goods held by the station.

  3. STEP 3

    Use

Add configured products and services to delivery schedules and occurrences.

  4. STEP 4

    Monitor

Review low stock, unavailable products, and delivery-related adjustments.

Inventory for bottled and refill products

Represent the range a real station sells without forcing every item into the same stock rule.

  • Bottled water, gallons, caps, dispensers, and accessories.
  • Non-stock refill services and operational fees.
  • Station-defined names, descriptions, and prices.

Stock changes tied to operations

AquaFlow treats stock adjustment as an explicit business action and updates eligible items during delivery work.

  • Dedicated adjustments with current stock visibility.
  • Deduction when tracked goods move into active delivery.
  • Restoration when delivery work leaves the stock-deducting stage.

History-safe product management

Past deliveries retain the product facts used at the time even after a price or availability change.

  • Snapshot names, prices, and stock classification.
  • Discontinue instead of deleting an offering still referenced by history.
  • Archive records through the station’s protected record lifecycle.

Water station inventory questions

Can AquaFlow track bottled-water stock?

Yes. Products configured as stock-tracked can hold quantities, receive adjustments, and show low-stock or out-of-stock status.

Do refill services reduce inventory?

Not when configured as non-stock services. AquaFlow separates refill service sales from physical products that should reduce stock.

Can a discontinued product remain in old deliveries?

Yes. Historical delivery items preserve their recorded name, price, and classification even when the current product is discontinued.

Does AquaFlow track borrowed customer containers?

A dedicated borrowed-container and deposit ledger is not currently implemented. AquaFlow manages station products, stock, refill services, and delivery item history.
